What is a meeting notes template?

A meeting notes template is a fixed outline you fill in during or after a meeting: who was there, what was decided, the action items with who does each one and by when, and the questions still open. Using the same outline every time makes notes faster to write and easier for everyone to read.

What goes in good meeting notes?

Four things matter more than the rest: the decisions, the action items, the open questions and who was there. Everything else is optional.

  • The basics: the meeting's name, the date and who was there.
  • Decisions: what was agreed, in one line each, so nobody has to ask later.
  • Action items: what needs doing, who does it and by when.
  • Open questions: what still needs an answer, so it comes back at the next meeting.
  • Other notes: numbers, names and details worth keeping.

You don't need to write down everything that was said. Listen for these, and write those.

How to write action items people actually do

Give every action item one person and one date. A task with no name belongs to nobody, and one with no date waits forever.

  • Start with a verb: “Send the new prices to Sam”, not “Prices”.
  • One name, not a team: if two people share it, pick the one who makes sure it happens.
  • A real date: “Friday” or “October 30”, not “soon”.
  • Read them out at the end of the meeting, so everyone hears what they agreed to.

A follow-up email template for after the meeting

Send it the same day, and keep it short: thanks, what was decided, the next steps with names and dates, and what's still open. The template above writes it for you.

A follow-up email turns a meeting into a record everyone has. People who missed the meeting catch up in a minute, and anyone who remembers it differently can say so while it's still fresh. End it by asking people to reply if anything is missing.

Questions

Is this meeting notes template free?

Yes. There's no sign-up and no limit. It works in your web browser, and you can copy, download or print what it makes.

Is what I type sent or saved anywhere?

Nothing is sent anywhere: the notes and the email are made in your browser. A draft is kept on this device only, so a reload doesn't lose it. Start over clears it.

Can I use it with Word, Google Docs or Notion?

Yes. Copy the notes and paste them in, or download them as a .txt file, or as a Markdown (.md) file that apps like Notion and Obsidian can import.

What is the difference between meeting notes and meeting minutes?

Minutes are the formal record of a meeting, often kept for boards and committees and approved later. Notes are the working version: what was decided, who does what, and what's still open.

Can I use it as a meeting minutes template?

Yes, for most team meetings: it keeps who was there, the decisions, the action items and the open questions. For formal minutes, such as a board meeting, also write down when it started and ended and any votes, and have them approved at the next meeting.

Can the notes fill themselves in during the call?

Not on this page: here you type them. ClearMeet, our app for Windows, writes the summary and the action items with names while the call is still on, with no bot in the meeting.
